Create Student Email Addresses
As a Registrar, I need to combine 'First Name' and 'Last Name' with our university's domain to create standardized student email addresses for our new intake. This process needs to be efficient and accurate to avoid manual errors and ensure students receive their login credentials promptly.
=CONCATENATE(A2,".",B2,"@university.edu") How it works: The CONCATENATE function joins multiple text strings into one. In this scenario, it combines the student's first name (from cell A2), a period ('.') as a separator, their last name (from cell B2), and the university's domain ('@university.edu'). This automates the creation of consistent and correctly formatted email addresses, saving significant time and reducing the risk of manual data entry errors for the Registrar.
Data Setup
| First Name | Last Name | Student ID |
|---|---|---|
| John | Doe | 1001 |
| Jane | Smith | 1002 |
| Peter | Jones | 1003 |
Step-by-Step Guide
Open your student data spreadsheet in Excel.
Ensure you have separate columns for 'First Name' (e.g., Column A) and 'Last Name' (e.g., Column B).
Select the cell where you want the first student's email address to appear (e.g., C2).
Type the formula: `=CONCATENATE(A2,".",B2,"@university.edu")`
Press Enter to see the generated email address.
Drag the fill handle (the small square at the bottom-right of the selected cell) down to apply the formula to all other student rows.
