Check Room Capacity

A Facilities Manager needs to quickly identify which rooms are over their maximum capacity based on current enrollment figures. The goal is to flag rooms where 'Enrolled' is greater than 'Max Capacity'.

How it works: This formula uses the IF function to perform a logical test. It checks if the value in cell B2 (Enrolled) is greater than the value in cell C2 (Max Capacity). If this condition is TRUE, it returns the text 'Over Capacity'. If the condition is FALSE (meaning Enrolled is less than or equal to Max Capacity), it returns 'OK'. This provides an immediate visual indicator for rooms requiring attention.

Step-by-Step Guide

Organize your data with columns for 'Room Name', 'Enrolled' (e.g., Column B), and 'Max Capacity' (e.g., Column C).

In the first cell of your 'Status' column (e.g., D2), enter the formula: `=IF(B2>C2, "Over Capacity", "OK")`.

Press Enter to apply the formula to the first room.

Drag the fill handle (the small square at the bottom-right of cell D2) down to apply the formula to all other rooms in your list.
